Scanning to email from Printer

Small peer to peer networks, 3 different clients, 3 different makes of printer, Brother, Canon, HP. Windows 11 unable to scan to email, can scan from computer then add file to email. Windows 10 users CAN scan directly to email. Normal scanning some Win 11 users can only scan from the computer, unable to scan from the printer to their computer. I'm really started to get a hate on for Win 11.

What are the ages of the printers in question and how recent is their most recent software?

I suspect something like @mmerry does.

I also try to teach clients that "Scan from computer" and then attach files is the reliable way to handle things, as I have yet to have an instance where that doesn't work. Scan from printer to {insert destination here} seems to fail relatively often.

SMBv1 issue?
SMB1.0 on, Unauthorized Guest access on. Brother printer brand new out of the box and software download from brother site. Canon 3 years old HP less than 1 year. No issues using windows 10 problem is only with Win 11 and only those that have not updated to the latest Win 11. Thanks for the suggestions keep them coming

Cannon was having scanning issues with 24h2. Do not know if it was fixed yet.
Can you scan with the software on the computer with the Cannon?

Yeah the issue is scanning to email. staright scanning no issues with any printer. Scanning can be done from the computer and create a file then atatch that to an email but Users want what the always had and that was Scan to Email from thge printer not have to walk across the room then back to the computer then back acrosss the room to the scanner and then back to the computer, AND I dont blame them

For "scan to email" I set up the MFP to send scans as an outbound email directly to the email address of the recipient...right from the scanner.
The "computer" never comes into play.

If you're scanning to a \Documents\Scans folder or something..that is where say, SMB would come into play.

Sounds like the issue lies with the inter-process bits that communicate with Outlook to take the incoming scan and programatically generate the email. I believe it's called MAPI. Not a surprise that its not working on Windows 11, especially if it's 24H2.

What kind of email accounts are they? What is the default email app that they're using on the PCs?

Yep, and these processes are, in my experience, fragile and subject to unexpected failure at any point along the path.

I know you've already liked my previous post, but this is precisely why I try to push my clients to use "the most reliable way" even if they've previously been accustomed to using a less reliable one. All the more so when the unreliable one breaks and it can be a major undertaking to determine where the fault lies and cost the client a lot more money than sending the memo (with instructions) that tells them exactly what to do instead.

I hate, hate, hate fragile technologies!

Yes, I'm guessing that as well. Guessing, because OP hasn't explained the process. My suggestion still stands. Set the copier up to send the email directly by using a service like SMTP-2-Go. It's $16/mo where I am - over a year, that totals less than 2 hours of my billable rate, so just do it.

It's been so many years ...I'm pretty sure I've forgotten that any remote scanner could reach across a network and shove something into Outlook. I remember many years ago Outlook started becoming resistant to access from external services (programmatic access)...and locking itself down. A security measure to prevent old types of worms that spread through Outlook.

But yeah, setting MFPs to send direct via outbound SMTP...is the way.

Ordinary old IMAP accounts
